To ensure your paper is eligible for submission to IEEE Xplore®, the following conditions apply: at least one author must register and present the paper (in person or virtually). Each registration covers one paper and an additional paper can be registered with an extra fee. Authors can participate in all conference events and will receive certificates for attendance and presentation. Payment deadlines vary by registration period, and discounted rates are available for IEEE members and students. Payment methods include credit card or bank transfer.

Author (Presenter) Registration and Payment

This section details the requirements for conference registration, payment deadlines, and fees, ensuring eligibility for IEEE Xplore® publication.

For Authors (Paper presenters):

To ensure your accepted paper is eligible for submission to the IEEE Xplore® digital library (subject to IEEE’s quality standards and review process), the following conditions must be met:

  1. Registration and Presentation: At least one author must register and present the paper (either in person or virtually) during the conference. Failure to present will result in the paper not being submitted for IEEE Xplore® publication.
  2. Registration Details: Each registration covers the presentation and publication of one paper, which must be identified by its submission ID. Authors who wish to present an additional paper (also identified by its submission ID) must pay an extra publication fee of €100 or US$120 per additional paper.
  3. Participation: Registered authors can participate in all conference events (online or in person), including technical and plenary sessions, panels, pre-conference workshops and tour, and special sessions (hybrid coffee breaks, hybrid lunches and welcome cocktail). Authors will also receive certificates for workshops attendance, conference participation and paper presentation.
  4. Payment Deadlines: Fees can be paid during three registration periods: Early (discounted rate), Normal (standard rate), and Late (increased rate). The amount listed for each item during these periods represents the total amount due, with no additional fees or charges. Please refer to the table below and the dates in Conference Schedule and Important Dates on this website.
  5. Payment Methods: After receiving the peer-review notification, you will be provided with various payment options through Google Forms. As you fill out the form, you will find links and instructions to:
    • Complete the payment
    • Submit your payment information, including receipts and details about the payment issuer, to help identify the payment in our bank accounts
    • Register the author who will present at the conference and provide details about the papers to be submitted for publication in IEEE Xplore:
      • The details of the author who will present the papers
      • The submission IDs of the papers
      • Any additional information required to schedule each paper’s presentation in the technical sessions (e.g., presentation language, country/city of residence to optimize the online presentation time, etc.)
      • Optional details required to issue a receipt for the registration payment, if requested by your institution.
    • Please select the appropriate registration category, keeping in mind that EDUNINE offers discounted rates for IEEE members and graduate/doctoral students during all registration periods. All registration categories include support for paper publication.
      • Discounted Rates:
        • IEEE Members Discounts: To qualify for the IEEE membership rates, you must provide your IEEE membership number during registration.
        • Student Discounts: To apply for the students rates, you must upload a valid graduate student ID or a letter from your university confirming your full-time student status during registration.
    • Payment Options: Different Google Forms are provided based on the payment method you choose:
      • Credit Card (in Euros): Use the Google Form linked to PayPal to make your payment in Euros.
      • Bank Transfer: These forms will include the necessary recipient details (bank and account information) to complete the transfer from your bank. There are two Google Forms for bank transfer payments:
        • in Euros, or
        • in U.S. Dollars
    • While you complete the chosen Google Form, you will need to upload your payment receipts (from PayPal or bank transfer) to the EDUNINE Dropbox. Access to the EDUNINE Dropbox will be provided via links in the form. This is a legal requirement for payment registration.
    • For students, a separate link is provided to upload a valid graduate student ID or a letter confirming your full-time status to the EDUNINE Dropbox.
  6. Registration Process: The registration and payment process is automated and based on the information provided through the Google Forms and corresponding uploaded receipts. To ensure privacy and security, no administrative personnel are authorized to handle payments manually. They are only available to assist with filling out the forms or answering questions related to bank transfer requirements.
